Your details, plainly.

The short version. If you join the Kopje waitlist we keep the details you type into the form so we can contact you about early access and pilots. We do not sell them, we do not use advertising trackers, and this site sets no cookies. Email hello@kopje.ai at any time to see, correct or delete what we hold.
Who we are
Kopje is an early access software product for inbound tour operators and destination management companies. For this notice, "Kopje", "we" and "us" mean the team behind kopje.ai, which is the responsible party for your personal information. You can reach us at hello@kopje.ai.
We aim to follow the Protection of Personal Information Act, 2013 (POPIA) of South Africa. If you are in the European Union or the United Kingdom, the same practices are intended to meet the GDPR and UK GDPR.
What we collect

We do not ask for special personal information (such as health, religion or biometrics) and we ask you not to include it in the form.
Our legal basis
We process your details because you chose to give them to us and asked to hear about Kopje (consent), and because contacting operators who asked about a business product is a legitimate interest. You can withdraw consent at any time by emailing us, and we will stop contacting you.
If we emailed you first
We sometimes write once, one-to-one, to tour operators and DMCs at business addresses they publish, to ask whether they would like to hear about Kopje. We only send more about Kopje if you say yes. If you say no, or do not reply, we will not write to you about Kopje again, and we keep only the minimum needed to make sure of that (your address and the date). You can ask us to delete even that.
Who processes it for us
We use a small number of service providers (operators, in POPIA terms) who act on our instructions and are bound to keep your information secure:
- Resend delivers the emails generated by the waitlist form and may store your contact details in a mailing list. Resend privacy policy.
- Vercel hosts this website and runs the waitlist form. Like any web host it processes technical request data such as IP addresses. Vercel privacy policy.
- Our booking provider, if you book a call through the "Book a 20-min call" link, receives the details you enter on its booking page (such as name, email and a time) under its own privacy policy, which it shows on that page.
- Our email provider stores the messages we send and receive at hello@kopje.ai.
These providers may store data outside South Africa, including in the United States. Where that happens we rely on their contractual data protection commitments, as POPIA section 72 allows, and on your consent when you submit the form.
We never sell your details, and we never share them with other operators, lodges or agents.
How long we keep it
We keep waitlist details until you ask us to delete them, or for 24 months after our last contact with you, whichever comes first. After that we delete them.
Your rights
You can ask us to:
- tell you what personal information we hold about you,
- correct or update it,
- delete it, or
- stop contacting you.
Email hello@kopje.ai from the address you signed up with. We will act on your request within 30 days, and usually much sooner. Deletion covers our records and the copies held by Resend.
If you are not happy with how we handled your information, please tell us first. You can also complain to the Information Regulator of South Africa at inforegulator.org.za or POPIAComplaints@inforegulator.org.za, or to your local data protection authority.
Cookies and tracking
This site sets no cookies, stores nothing in your browser, and runs no analytics or advertising scripts. If the link you followed carries a link code (see above), it stays in the address bar and is only sent to us when you submit the form or follow the call link. Fonts are served from our own domain, so loading the page does not contact Google or other third parties.
Security
The site is served only over HTTPS. Access to waitlist details is limited to the people who need it to contact you.
Changes
If we change this notice we will update the date at the top. If a change is significant and we hold your details, we will email you about it.
